Choose a version of which to create a backup, and download it[edit]

  • Consult the backup folder of snapshots of the OpenGLAM Survey (ping Doug to get access to this folder) and find an appropriate archived file. One backup per three or six months is probably fine, unless some activity (like a presentation) would require a more frequent retrieval and update of the data. Do note that, for instance, the file dated May 1, 2020 will contain a backup from April 30 at the end of the day.
  • Create several downloads from the archived Google Sheet you've selected (via the File - Download menu option):
    • A csv download of the (first) sheet which contains the data of the hundreds of GLAMs with Open Access policies
    • A PDF download of the entire workbook; it's probably most useful and legible if you download it in Landscape orientation and A4 format. If done well, you'll see that this downloaded PDF will include links to a document about the Survey, to a form in which new entries can be submitted, and many footnotes.

Upload to archive.org[edit]

  • Go to archive.org and log in (or, if needed, create an account first)
  • Look, as a model, at the very first backup that was uploaded there: https://archive.org/details/OpenGLAM_Survey_20191031
  • Upload the backup files (csv and PDF) that you have just downloaded
  • Give the upload (containing two files) the following metadata:
    • Page Title: OpenGLAM Survey Backup yyyymmdd (date of the backup)
    • Page URL: adjust the URL to have the format OpenGLAM_Survey_yyyymmmdd
    • Description: adjust the description below with up to date values for date, backup spreadsheet link, and Wikidata item (see below)
April 30, 2020 backup of the Survey of GLAM open access policy and practice by Douglas McCarthy and Dr. Andrea Wallace.

This is an ongoing informal survey of open access policies in the gallery, library, archive and museum (GLAM) sector. It examines how GLAMs make data – whether digital objects, metadata or text – available for re-use. The survey is intended to be a starting point for people who want to find and use open collections or data. It may also serve as a resource for GLAMs exploring open access data and policy development. Survey results are shared in this regularly updated spreadsheet. This download on Internet Archive is a backup snapshot of the spreadsheet on April 30, 2020.

Update GLAMs' Wikidata items with the new information where relevant[edit]

You can use OpenRefine to do this. Tip: export the edits to QuickStatements, as QuickStatements will not create new statements but rather add an additional qualifier to the existing statement.
